Administrative Aide

WG+E is accepting applications for the position of Administrative Aide (Min $33.22)

This position is responsible for providing crucial support to ensure smooth functioning of day-to-day activities. Performs, according to standard office procedure, a variety of clerical duties requiring a degree of decision and knowledge of the functions of the department, to include examining documents for correctness, preparation of forms/documents, maintaining records and files, assist in supply operations, including procurement, receipt, distribution and control related to administrative side of supplies and materials. Assists the Division Head in the administration of that organization by performing highly responsible administrative and clerical functions and relaying administrative orders and other information to employees. Acts as a confidential assistant to the Division Head and works in the development and implementation of policies and procedures to be followed. Responsible for supporting the department by performing a variety of management and liaison services that are essential to the direction and operation of the organization.

Duties and Responsibilities include (but are not limited to):

· Provide administrative assistance such as managing schedules, organizing meetings, and handling correspondence, as requested.

· Maintain and organize important documents, including contracts, reports, regulatory filings, and historical operations data.

· Input data into systems and generate reports as requested.

· Interact with customers to provide notification of upcoming field work and conflict resolution.

· Coordination with various departments within the utility to ensure smooth communication and workflow.

· Assist in the purchasing process to ensure timely receipt of operational materials and supplies.

· Ensure compliance with regulatory requirements by maintaining and updating records and adhering to established procedures.

· Ensure process flow for recovery of departmental expenses incurred as they relate to outside forces on Department infrastructure.

· Prepare monthly deliverable reports for Department and Board meetings, as requested.

· Act as assistant to the Department Head and is responsible for maintaining confidential information.

· Act as a liaison with other municipal departments and government agencies.

· Accept responsibilities and assignments common to all administrative positions and perform related duties consistent with the scope of position incidental to the responsibilities assigned.

Qualifications & Entrance Requirements include:

· Ability to manage multiple tasks efficiently and prioritize work effectively.

· Attention to detail, as accuracy is critical, especially when dealing with regulatory requirements.

· Clear and concise written and verbal communication skills to include proper grammar and professional tone essential for interacting with colleagues and customers.

· Technical proficiency and proven computer software skills such as MS Office 365 suite and possibly industry-specific software.

· Excellent team building and interpersonal skills.

· Problem-solving abilities with a capacity to identify issues and find solutions independently or with minimal guidance.

· Adaptable to changing priorities and dynamic environments.

· Familiarity with electric, gas and telecommunications operations and regulations is advantageous.

· Confidentiality in handling sensitive information with discretion as needed.
